Designing Smart Document Flows
Helping a family-owned company lay the foundation for a modern data management system and finally move beyond managing everything in Excel.

Overview
Snake Brand is Thailand’s leading family-owned personal care company. Like many long-standing family businesses, it found itself at a turning point. With a new generation of leadership stepping in, there was a clear mandate: modernize operations through technology, starting with rebuilding the information system from the ground up.
I began by laying the foundation for smarter data management, designing a system to streamline the flow of core documents such as purchase orders, invoices, and packing lists. This was just the beginning - a crucial first step in transforming how information moves across teams and setting the stage for scalable, efficient growth.
Goal
What the company needed was a unified system - a single source of truth for item data that could automatically generate purchase orders, invoices, and packing lists using existing information. I focused on streamlining the workflow by shifting repetitive, manual tasks from individual teams to the system itself.
The goal: eliminate duplication, minimize errors, and ensure the right documents reached the right people at exactly the right time.
Mapping the Workflow, Uncovering Insights
I partnered with stakeholders across planning, accounting, warehouse, and logistics to gain an understanding of their day-to-day operations. Through these conversations, I gathered valuable user insights, identified key pain points, and mapped out end-to-end information workflows.
Excel spreadsheets were still doing the heavy lifting
I discovered that nearly every department relied heavily on Excel for everything from order placement, production planning to budgeting and accounting. While familiar, this approach came with drawbacks: one small formula error could throw off entire workflows, and without careful checks, mistakes could easily go unnoticed. On top of that, the process simply wasn’t scalable. It depended too much on manual effort, slowing down operations as the company grew.
A Smarter Way to Place Orders
I introduced a streamlined, user-friendly order page that redefines how teams place purchase orders. Now, instead of manually filling out spreadsheets, initiators simply log into the system, navigate to the order page, and create a new order by selecting SKUs and entering quantities.
Everything else - box quantity, weight, case cubic, unit cost - is automatically calculated by the system. Once submitted, the system generates a purchase order and routes it directly to the authorized approver for production sign-off.
After approval, relevant teams can instantly track the order status and receive real-time updates all in one place. This marks a significant leap forward from the old manual process of typing item names into Excel and calculating everything by hand.
Continuous Refinement
This project is just the beginning, as the company starts its shift from manual processes to a more streamlined digital workflow. My role doesn’t end at launch. I continue to monitor usage, gather feedback, and refine the experience to ensure long-term success.
